Position Overview:

The United States Agency for International Development (USAID) in Senegal is seeking a highly motivated and qualified individual to fill the position of Administrative Assistant in the Office of the Mission Director. This critical role ensures the efficient operation of the Missionโ€™s Front Office, providing comprehensive secretarial, protocol, and administrative support directly to the Mission Director.

As an Administrative Assistant in the Office of the Mission Director, you will be at the heart of USAID’s mission in Senegal, playing a pivotal role in the smooth functioning of the Mission’s operations. This position requires a high level of professionalism, discretion, and organizational skills, as you will be managing sensitive information and interacting with high-level stakeholders, including government officials, implementing partners, and other key players in the development sector.

Key Responsibilities:

Personal Assistant Duties:
  1. Calendar Management: You will manage the Mission Director’s calendar, scheduling and coordinating appointments, meetings, and events. This involves ensuring there are no conflicts and that the Mission Director is well-prepared for each engagement.
  2. Travel Arrangements: Handle all travel arrangements for the Mission Director, including booking flights, accommodation, and transportation. You will also prepare detailed travel itineraries and ensure all necessary travel documents are in order.
  3. Correspondence Management: Draft, review, and manage correspondence on behalf of the Mission Director. This includes emails, letters, memos, and other forms of communication.
  4. Meeting Preparation: Prepare meeting agendas, take minutes, and ensure that all necessary materials and information are available for the Mission Directorโ€™s meetings.
Customer Service:
  1. Point of Contact: Act as the primary point of contact for the Missionโ€™s Front Office, ensuring that all inquiries are handled promptly and professionally.
  2. Stakeholder Interaction: Provide exceptional customer service to internal and external partners, including Mission staff, contractors, grantees, and potential partners. You will be responsible for building and maintaining positive relationships with these stakeholders.
  3. Information Dissemination: Coordinate and disseminate information about the USAID Mission to relevant stakeholders. Ensure that all communications are timely, accurate, and professional.
Coordination and Communication:
  1. Internal Communication: Facilitate effective communication within the Mission, ensuring that all staff are kept informed of relevant updates, policies, and procedures.
  2. External Communication: Liaise with Implementing Partners (IPs), host-government officials, the Embassy, USAID/Washington, and other customers, ensuring effective communication and information flow.
  3. Documentation: Maintain accurate records and documentation of all communication and correspondence, ensuring that these are easily accessible and up-to-date.
Administrative Functions:
  1. Protocol Duties: Handle protocol duties for the Mission Director, ensuring that all interactions with stakeholders are conducted in a professional and courteous manner.
  2. Office Management: Oversee the day-to-day operations of the Front Office, ensuring that all administrative tasks are completed efficiently and effectively.
  3. Report Preparation: Prepare and review reports, ensuring that they are accurate and submitted on time. This includes both internal reports and those that need to be submitted to external stakeholders.
  4. Record Keeping: Maintain organized and up-to-date records of all administrative activities, ensuring that they are readily available for reference.
Stakeholder Interaction:
  1. Networking: Build and maintain relationships with key stakeholders, including Implementing Partners (IPs), host-government officials, the Embassy, USAID/Washington, and other customers.
  2. Liaison Duties: Act as a liaison between the Mission Director and stakeholders, ensuring that all interactions are conducted smoothly and efficiently.
  3. Feedback Management: Gather and manage feedback from stakeholders, ensuring that any issues are addressed promptly and effectively.

Required Qualifications:

Education:
  1. Secondary Education: Completion of secondary school is required. Additional training or education in administration, secretarial work, or related fields is highly desirable.
Experience:
  1. Work Experience: Minimum of five years of progressively responsible experience in secretarial, administrative, or office management roles, preferably in an international or governmental organization.
  2. Relevant Experience: Experience in roles that require a high level of discretion, professionalism, and organizational skills. Experience in managing schedules, preparing reports, and handling correspondence is essential.
Skills and Abilities:
  1. Organizational Skills: Excellent organizational and multitasking skills, with the ability to prioritize tasks and manage time effectively.
  2. Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  3. Communication Skills: Strong interpersonal and communication skills, both written and verbal. The ability to interact professionally with a diverse range of stakeholders.
  4. Independence: Ability to operate independently, with minimal supervision, and maintain confidentiality in all tasks.
  5. Language Proficiency: Fluency in English and the local language, both written and spoken.
