Key Responsibilities:

As an Assistant for WHO, your core responsibilities include:

  1. Managing Correspondence:
  • Receive, screen, and track incoming correspondence.
  • Attach relevant background information and forward it to the appropriate staff, drawing attention to specific issues when necessary.
  1. Administrative Tasks:
  • Draft responses to general and administrative correspondence based on instructions or initiative, and finalize them.
  1. Travel Coordination:
  • Utilize the WHO Global Management System (GSM) to arrange official travel, make flight and hotel reservations, and handle travel-related tasks.
  1. Procurement and Contracts:
  • Initiate contracts for consultants and agreements like APW (Agreements for Performance of Work) and DFC (Direct Financial Cooperation) using the Oracle/GSM system.
  • Track deliverables, process payments, and oversee the procurement of goods.
  1. Monitoring Deadlines:
  • Track important deadlines and ensure timely responses to correspondence and project deliverables.
  1. Document Preparation:
  • Edit, format, and finalize technical reports, presentations, and other documents according to WHO’s style and standards.
  1. Information Retrieval:
  • Gather necessary documents and conduct information searches from internal and external sources when needed.
  1. File Management:
  • Maintain a well-organized filing system that ensures traceability of activities and easy retrieval of documents.
  1. Visitor & Call Handling:
  • Receive visitors and telephone calls professionally, answer queries, and redirect them as necessary.
  1. Event Organization:
    • Assist with organizing meetings, workshops, and other events by preparing participant lists, managing travel logistics, booking venues, and preparing required materials.
  2. Additional Support:
    • Provide support to other administrative staff as required, including stepping in when needed and handling additional duties.

Required Qualifications:

  • Education:
  • Essential: Completion of secondary school education.
  • Desirable: Formal secretarial or administrative training. A Bachelor’s degree is an asset.
  • Experience:
  • Essential: At least 3 years of relevant experience in administrative or secretarial roles.
  • Desirable: Experience working with WHO or other UN agencies. Familiarity with Oracle-based Enterprise Resource Planning (ERP) systems is advantageous.
  • Skills:
  • Strong organizational and administrative skills.
  • Proficiency in standard office software packages.
  • Ability to manage multiple tasks efficiently and work independently.
  • Languages:
  • Essential: Proficiency in English and Lao.

Compensation:

  • Annual Base Salary: Starting at USD 8,527, subject to pension contributions and health insurance deductions.
  • Benefits Package: 30 days of annual leave, pension contributions, health insurance, parental leave, and flexible work arrangements to support work-life balance.

  • This position is subject to local recruitment, and only candidates residing in the local commuting area of Vientiane will be considered.
