Position Overview: Junior Assistant
Location: Various UNESCO offices globally

What You Will Do: As a Junior Assistant at UNESCO, you will play a crucial role in supporting the organization’s projects and initiatives in the fields of Higher Education, STEM (Science, Technology, Engineering, and Mathematics), Education for Sustainable Development (ESD), and ICT (Information and Communication Technology). You will work under the guidance of experienced professionals, gaining hands-on experience in international program administration, project implementation, and stakeholder coordination.
Key Responsibilities
Program and Administrative Support
- Assist in organizing meetings, workshops, and events related to education and science initiatives.
- Provide administrative support for conference room bookings and travel arrangements.
- Draft meeting minutes, presentations, and reports.
- Maintain an efficient filing system for documentation.
- Assist in producing communication materials such as brochures and publications.
- Collaborate with key stakeholders and partners to ensure effective program execution.
- Conduct research and analysis to assist in the development of concept notes and program proposals.
- Maintain an updated database of contacts, partners, and stakeholders.
Financial Management
- Process payment requests and ensure timely disbursement of funds to service providers.
- Verify that all financial reports and receipts comply with UNESCO’s policies.
- Prepare financial reports to support program budget planning and expenditure tracking.
Procurement and Logistics
- Handle procurement processes, including contracts and purchase orders.
- Monitor contract execution and ensure timely submission of deliverables by consultants and vendors.
- Assist in registering new service providers and consultants in UNESCO’s database.
- Organize travel and accommodation for staff and delegates attending regional and global events.

Required Qualifications
To be eligible for this role, candidates must meet the following criteria:
Educational Background:
- A first-level degree in Social Sciences, Business Administration, Management, or any related field.
Work Experience:
- At least one year of relevant experience in secretarial, administrative, or program support roles.
- Experience working in an international organization or UN agency is an advantage.
- Ability to manage high volumes of work in a fast-paced environment.
- Proficiency in web-based IT applications (e.g., Microsoft SharePoint, contract management systems, travel management tools).
