Position Overview:
The Ending Violence Against Women (EVAW) section at UN Women Headquarters in New York is seeking an Administrative and Procurement Consultant to support their programmes, including the Spotlight Initiative. The consultant will provide crucial administrative and procurement backstopping from 11 June 2024 to 10 February 2025.

The Ending Violence Against Women (EVAW) section is a crucial part of UN Women’s Policy, Programme, and Intergovernmental Division. This section is responsible for a variety of functions, including providing policy and technical advice to regional and country offices on ending violence against women, supporting normative work at the global level, and developing and managing global programmes. The EVAW section works closely with other parts of UN Women to ensure that our efforts are cohesive, comprehensive, and impactful.
Key Responsibilities:
The Administrative and Procurement Consultant will play a vital role in ensuring the smooth operation of the EVAW section. The consultant will be responsible for a range of administrative and procurement tasks that support the section’s programmes, including the Spotlight Initiative. The responsibilities include but are not limited to:
1. Administrative Support:
- Meetings, Workshops, and Webinars: Provide general administrative support for the organization of EVAW section meetings, workshops, webinars, and campaigns. This includes coordinating logistics, preparing meeting materials, and ensuring that all necessary arrangements are in place for successful events.
- Communication: Facilitate effective communication within the EVAW section and with external stakeholders. This involves managing correspondence, scheduling meetings, and maintaining an updated calendar of events.
- Documentation: Ensure that all documentation related to EVAW section activities is properly maintained and accessible. This includes preparing reports, meeting minutes, and other relevant documents.
2. Procurement Support:
- Procurement Processes: Assist with the procurement needs of the EVAW section’s programmes, including the Spotlight Initiative. This involves preparing procurement plans, coordinating with suppliers, and ensuring compliance with UN Women’s procurement policies and procedures.
- Vendor Management: Maintain relationships with vendors and suppliers, ensuring that goods and services are delivered on time and meet the required standards. This includes managing contracts, resolving any issues that arise, and conducting regular reviews of vendor performance.
- Inventory Management: Oversee the management of office supplies and equipment, ensuring that all necessary items are available and in good condition.
3. Recruitment Support:
- Recruitment Processes: Support the recruitment needs of the EVAW section’s programmes, including the Spotlight Initiative. This includes posting job vacancies, screening applications, coordinating interviews, and assisting with onboarding new staff and consultants.
- Status Tracking: Keep track of the status of consultants within the EVAW section, ensuring that all necessary paperwork is completed and that contracts are up to date.
- Guidance and Support: Provide guidance and support to staff on recruitment-related matters, including compliance with UN Women’s recruitment policies and procedures.
4. Programme and Project Management:
- Corporate Guidance: Ensure that UN Women personnel in the EVAW section, including the Spotlight Initiative, are kept up to date on new corporate guidance in programme and project management. This involves disseminating information, organizing training sessions, and providing ongoing support.
- Monitoring and Reporting: Assist with the monitoring and reporting of programme activities, ensuring that progress is tracked and that any issues are promptly addressed. This includes preparing regular reports on programme performance and outcomes.
Consultant’s Workplace and Official Travel:
This is an office-based consultancy located at UN Women Headquarters in New York. The consultant will work closely with the EVAW Policy Specialist on Multi-Sectoral Services and the Chief Technical Advisor of the EVAW Spotlight Initiative. The EVAW Section Finance Associate will be the point of contact for contract and payment issues related to this consultancy.
The consultant will not be required to travel during this consultancy. However, they must be available to work on-site and be present at UN Women Headquarters as needed.

- Familiarity with UNDP System Operational Functionalities: Have a good knowledge of the UNDP system, including operational functionalities such as Quantum.

Required Skills and Experience:
Education and Certification:
- Completion of secondary education is required.
- An undergraduate degree in finance, accounting, business or public administration, or a related field is preferred.
Experience:
- A minimum of two years of continuous experience in administrative management and procurement functions.
- Experience working on projects in the field of gender equality and women’s empowerment, particularly those focused on ending violence against women and girls.
- Previous work experience with the UN, and knowledge of the UN Women mandate, rules, and procedures is a distinct advantage.
- Experience in human resources recruitment and making travel arrangements.
- Experience in handling web-based management systems, including ERP systems.
- Proficiency with computers and office software packages (MS Word, Excel, etc.) and knowledge of spreadsheet and database packages.
Languages:
- Fluency in English is required.
- Knowledge of any other UN official language is an asset.
