General Background and Purpose of Assignment

The Registration Assistant is an integral member of the registration team, supervised by a more senior colleague who typically reports directly to the Registration Officer. The incumbent is responsible for supporting various registration activities, including reception, filing, and data management. Responding to queries from asylum seekers and refugees regarding UNHCR’s registration procedures, rights, and entitlements is a key aspect of this role. Additionally, the Registration Assistant liaises with protection staff and partners to ensure the timely identification and referral of persons of concern for protection follow-up. They may also provide interpretation and translation services when required.

Core Responsibilities:

  1. Conduct Registration Interviews: Perform registration interviews following local Standard Operating Procedures (SOPs) and registration standards. Ensure all data collected is accurate and up-to-date.
  2. Respond to Queries: Address questions from asylum seekers and refugees about UNHCR’s registration procedures and their rights and entitlements.
  3. Maintain Records: Keep detailed and accurate records and data related to all individual registration cases.
  4. Identify and Refer: Identify individuals with specific needs and ensure timely referral to protection follow-up.
  5. Collaboration: Work closely with protection staff and partners in delivering assistance and programming, including providing identity and entitlement documentation.

The Registration Assistant works in accordance with the UNHCR framework, following the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions, and applicable accountability frameworks. The position requires a strong sense of responsibility, understanding of the organization, and adherence to UNHCR’s fundamental principles of professionalism, integrity, and respect for diversity. The Registration Assistant aligns with the UNHCR framework, abiding by the UN Charter, UN Staff Regulations and Rules, UNHCR Policies and Administrative Instructions, and relevant accountability frameworks. Weekly and Final Reporting:

  • Weekly reports to the Supervisor.
  • A final report is due by December 31, 2024.

Final Evaluation: The final evaluation of the Registration Assistant’s performance will be conducted by the Supervisor.

Qualifications and Experience

Education:

  • For G4 level: 1 year of relevant experience with a High School Diploma; or a Bachelor’s degree or higher in Social Sciences, Statistics, Mathematics, Information Technology, or a related field.
  • Additional certification in HCR Protection Learning Program is desirable.

Experience:

  • Experience in registration activities, casework, and interviewing is favorable.
  • Familiarity with UNHCR and INGOs is highly desirable.
  • Experience with UNHCR ProGres software is a significant advantage.
