About the Role
The Coordinator will support the Foundation’s Gender Equality Division by managing the planning and coordination of international meetings, conferences, and stakeholder events while also assisting with visa documentation for participants.
This newly established role is ideal for professionals with experience in project coordination, operations, executive administration, or event management who enjoy working in fast-paced, multicultural environments. The position also includes 20–25% domestic and international travel.
Key Responsibilities
Successful candidates will:
- Coordinate international conferences and convenings from planning through execution.
- Manage logistics, scheduling, participant coordination, and event preparation.
- Collaborate with internal teams including travel, registration, finance, and communications.
- Prepare visa documentation and support international travel processes.
- Track project timelines, service metrics, and event outcomes.
- Develop standard operating procedures, guidance materials, and planning resources.
- Build strong relationships with internal and external stakeholders.
- Support continuous improvement of event management processes.
- Manage multiple projects while meeting tight deadlines.
- Produce workload reports and recommendations for operational improvements.
Eligibility Requirements
Applicants should have:
- Experience in project coordination, business operations, executive administration, event management, or a related field.
- Strong organizational and time-management skills.
- Knowledge of project management tools and practices.
- Experience coordinating multiple projects simultaneously.
- Excellent communication and stakeholder engagement skills.
- Strong attention to detail.
- Ability to solve problems in dynamic environments.
- Experience with logistics planning and event coordination.
- Knowledge of audiovisual (AV) troubleshooting is an advantage.
- Experience coordinating international events is desirable.
- Authorization to work in the United States, as visa sponsorship is not available for this role.
